Email Delivery Reports: How to Track, Analyze and Fix Your Campaign Deliverability

When you send a large number of emails — whether for an Annual General Meeting, a client campaign, or any important communication — knowing exactly what happened after clicking “Send” is essential.

The ability to download a detailed delivery report allows organizers to have complete visibility on the status of every email sent.

This transparency offers two major benefits:

  1. Guarantee of proper delivery — You have proof that the vast majority of your recipients received the communication.
  2. Quick identification and correction — You know exactly who didn’t receive it and the precise reason, allowing you to fix the issue and resend.

The Four Main Delivery Statuses in Voteer

Voteer clearly displays four main statuses for each email sent:

Sent / Delivery → The email was successfully delivered to the recipient’s mailbox.

Open → The recipient opened the email.

Not Sent→ The email could not be sent (usually because the address is missing or invalid).

Bounce → The email was rejected by the recipient’s server. This can happen for several reasons: mailbox does not exist, invalid address, mailbox full, temporary server issue, the recipient being on vacation with an auto-reply (vacation mode), or the message being blocked.

Key advantage: If someone did not receive the message, it is entirely possible to correct their email address and resend it immediately directly from Voteer. This ensures that no voter is left out, which is essential for important communications.
